Privacy Policy
PARK model agency Co., Ltd. (“we”) handles personal information obtained through the lodging facility Kokage Villa Nikko (KVN) and this website (together, “the Service”) as follows.
1. Information we collect
• When you book: name, address, phone number, email address, number of guests, estimated arrival time, etc.
• When you stay: the guest register required by Japan’s Hotel Business Act (name, address and contact details of every guest; for foreign nationals without an address in Japan, nationality, passport number and a copy of the passport)
• When you contact us: your inquiry and contact details
• When you browse this website: cookies and access data such as IP address and pages viewed
* Credit card details are collected directly by our payment provider. We do not store them.
2. Purposes of use
• To accept and confirm bookings, provide the stay and send check-in instructions
• To prepare and keep the guest register required by law
• To respond to inquiries
• To process charges and refunds
• To contact you in an emergency or if a problem occurs
• To analyse statistics that do not identify individuals and improve the Service
• To send information when you have agreed to receive it
3. Sharing and outsourcing
We do not provide personal information to third parties without your consent, except as required by law. To the extent needed for the purposes above, we may entrust or share it with our booking system and payment providers (such as AirHost and Stripe), the booking site you used, our property operator and our cleaning contractors. We supervise these contractors appropriately.
4. Providers outside Japan
Some of these providers may keep servers outside Japan. We take the measures required under Japan’s Act on the Protection of Personal Information.
5. Security
We take necessary and appropriate measures to prevent leakage, loss or damage of personal information.
6. Retention
The guest register is kept for the period required by law (3 years). Other personal information is kept only as long as needed for the purposes above.
7. Your requests
If you ask us to disclose, correct, stop using or delete your personal information, we will respond promptly in accordance with the law after confirming your identity.
8. Cookies
This website may use cookies for convenience and access analysis. You can disable cookies in your browser settings.
9. Changes
We may revise this policy when necessary. The revised policy takes effect when it is posted on this website.

Terms of Use
These terms set out the conditions for using Kokage Villa Nikko (KVN) (“the Property”), operated by PARK model agency Co., Ltd. (“we”).
1. Scope
These terms apply to stays at the Property and to the use of this website. For bookings made on other booking sites, that site’s rules on price, cancellation and similar conditions take precedence.
2. Booking
A booking on our official website is confirmed when online payment is completed and the confirmation email is sent.
3. Price and payment
Prices are per villa and equal the total shown on the booking page (tax included). Payment is by credit card online in advance only.
4. Cancellation
Cancellation fees are as set out in the Legal Notice and in the cancellation policy shown on the booking page.
5. Number of guests
Each villa accommodates up to 5 people, including infants. Guests beyond the booked number, and overnight stays by anyone who is not a registered guest, are not permitted.
6. Check-in and check-out
Check-in is 15:00–24:00 (please contact us in advance if you will arrive after 22:00). Check-out is 10:00. Check-in is self check-in with a smart lock.
7. Guest register
Under Japan’s Hotel Business Act, please provide the name, address and contact details of every guest. Foreign nationals without an address in Japan must present their passport and allow us to keep a copy.
8. Prohibited acts
• Smoking indoors (smoking is allowed only in the gazebo)
• Using fire outside the designated places
• Loud noise or any behaviour that disturbs neighbours
• Taking items away, or modifying or damaging the facilities
• Holding parties or events
• Bringing pets (legally recognised assistance dogs excepted)
• Any act that violates the law or public order
9. Damage
If the building, facilities or items are damaged or soiled through your intent or negligence, you will be charged the actual cost of repair or cleaning.
10. Our liability
We are not liable for interruptions caused by natural disasters, power or network outages, or other causes beyond our control. Please look after your own valuables. The Property is surrounded by forest, so insects and wild animals may be seen.
11. Refusal of stay
We may refuse or end a stay if these terms are violated or if other guests or neighbours are seriously disturbed. In that case, the charges will not be refunded.
12. Governing law and jurisdiction
These terms are governed by the laws of Japan. The Tokyo District Court has exclusive jurisdiction in the first instance over any dispute relating to the Property.
13. Changes
We may revise these terms when necessary. The revised terms take effect when they are posted on this website.
